This Privacy Policy outlines how I collect and use your personal data, as well as the reasons I need to collect certain information. Please read this policy carefully before using the website of Becky Richens, Independent Mental Health Nurse, as it sets out your rights under the General Data Protection Regulation (GDPR) and how I protect your personal information.
Personal Information I Collect:
When you visit the Becky Richens website, I may automatically collect certain information about you. I use 'WriteUpp', a digital practice management tool, to securely store your data and clinical records. WriteUpp complies with the General Data Protection Regulation (GDPR) and ensures that your data is handled with appropriate security measures.
All data and consent forms are securely stored for up to seven years, after which they will be securely destroyed in line with the GDPR. This policy applies under UK law.
Subject Access Requests
Under Article 15 of the GDPR, you have the right to access the personal data I hold about you. This means you can request information I store about you at any time. I have 30 days to respond to your request.
To make a Subject Access Request, please email rfrichens@googlemail.com with the following details:
- A subject line that reads "Subject Access Request".
- The date of your request.
- Your full name (and any other names you may have used, such as your maiden name).
- Your email address, home address, date of birth, and phone number.
- A clear description of the personal information you are requesting (be specific and indicate any data you do not need).
- Any relevant details or dates that may help me locate the information.
- The reason you require the information (this is optional but may help me process your request).
- How you would like the information provided (e.g., electronically or by post), and any accessibility requirements you may have (e.g., large fonts).

Confidentiality
I take your privacy seriously. All services are confidential, and I do not disclose any information about you to third parties, except in the following exceptional circumstances:
- If legally required.
- If I believe you or someone else is at risk of harm.
- If there is a public interest or duty to disclose information.
- If disclosure is necessary to protect my interests or to ensure the safety and wellbeing of those involved in the service.
- If you consent to the disclosure or request it.
Letters and Reports
I do not provide letters or reports as a standard service. If you require a letter or report, please discuss this with me. Additional charges apply: £95 for a short letter and £155 for a report (including DLA/PIP claims, passport verifications, and employment support).
Client Records and Data Protection
I keep confidential records related to your treatment. These records may include personal details such as age, gender, ethnicity, health status, and other sensitive information. Records are securely stored via the WriteUpp system in accordance with GDPR. Personal notes taken during consultations are for reference only and are kept for as long as necessary, or until the case is concluded.
All data and consent forms are securely stored for up to seven years and then securely destroyed in compliance with GDPR and UK law.
Insurance and Professional Registration
I hold professional indemnity and liability insurance for the services I provid. I am a registered mental health nurse with the Nursing and Midwifery Council (NMC), with up-to-date registration.
Cancellations/Non-attendance
Clients must provide at least 24 hours' notice to cancel an appointment. If a session is cancelled without 24 hours' notice, or if a client discontinues scheduled sessions without prior notice, the full fee for the session may be charged. The time slot may also be offered to another client.
If 24 hours' notice is given, I will arrange a new appointment at a mutually convenient time. Please note that Sundays and bank holidays are excluded from the 24-hour notice period, so cancellations for appointments on a Monday or the day after a bank holiday must be made by the preceding working day.
Safeguarding
I have an ethical duty to protect vulnerable adults and children accessing mental health support. I am fully insured, DBS checked, and hold an active membership with the NMC as a registered mental health nurse. I am also up-to-date with safeguarding training at level 3 and have the necessary qualifications to provide the services outlined on this website.
